DMS Flooring Supplies is committed to protecting the privacy and personal data of our customers, visitors, colleagues, and contractors. This CCTV Privacy Policy explains how and why we use closed-circuit television (CCTV) systems at our premises, and how we handle any personal data captured.

1. Purpose of CCTV
CCTV is in operation at our premises for the following purposes:

2. Locations Where CCTV Operates
CCTV cameras are installed only in the following areas:

Trade counter and showroom areas

Warehouses

Yards

Loading bays

Car parks
Clear signage is displayed at all relevant locations to inform individuals that CCTV is in operation.
3. Audio Recording
Our CCTV systems do not record audio.
4. Lawful Basis for Processing
The lawful basis for processing personal data via CCTV is legitimate interests, under Article 6(1)(f) of the UK GDPR.
Our legitimate interests include maintaining site security, protecting individuals and property, and supporting the investigation of incidents when required.
5. Monitoring and Access to CCTV Footage
CCTV footage is recorded continuously and only reviewed when necessary, for example following an incident or complaint.
Access to CCTV footage is strictly limited to authorised roles only:

All access to footage is controlled and appropriate safeguards are in place to prevent unauthorised viewing or disclosure.
6. Retention of CCTV Footage
CCTV recordings are retained for up to 30 days, after which they are automatically deleted.
Footage may be retained for longer where necessary, for example:

Where an incident is under investigation

Where footage is required for insurance, legal, or law enforcement purposes
Once no longer required, footage is securely deleted.
7. Sharing of CCTV Footage
CCTV footage is not routinely shared with third parties.
Footage may be disclosed where legally required or permitted, for example:

To the police or other law enforcement agencies

To insurers or legal advisers in connection with a claim or investigation
Any disclosure is made in accordance with data protection legislation.
8. Individual Rights
Individuals whose personal data is captured by our CCTV system have rights under UK data protection law, including the right to:

9. How to Make a Subject Access Request (SAR)
Requests for CCTV footage must be made in writing and should include sufficient information to help us locate the relevant footage (such as date, time, and location).
